legal assistant (Dutch-speaking) | Utrecht | 32-40 hours

introduction
We are looking for a proactive, structured and Dutch-speaking legal assistant to join the legal team of colleagues in the Netherlands and abroad. In this role you are responsible for document and process management and maintaining and optimising the digital legal systems.

your role and responsibility
Your main tasks will be managing Legisway Essentials and the Aalberts Integrity Academy

  • keeping the corporate entity management system (Legisway Essentials) of our legal entities (worldwide), and its user rights up-to-date
  • processing documentation and deadlines related to M&A transactions
  • creating action lists and following up on items with relevant in- and external stakeholders
  • maintaining the (public) corporate data and documents of our group companies
  • interacting with the Chamber of Commerce, notaries and our legal service provider
  • managing the input for and users of our global e-learning system (Aalberts Integrity Academy)
  • designing and managing the Teams and Sharepoint environment of the legal team
  • ensuring a consistent and user-friendly experience within the systems
  • processing user feedback and implementing related actions with stakeholders
  • onboarding worldwide users of the systems and taking the lead in solving issues

you will be additionally supporting the legal & governance team in Utrecht

  • organising the bi-monthly Teams meetings and the semi-annual physical meetings of the legal team, including responsibility for (delegation of) the program and related bookings
  • preparing the agenda, minutes and action points and proactively following up on them

your qualifications and profile

  • at least MBO/HBO level
  • at least 2 years of relevant work experience in an administrative or support (legal) position
  • experience with maintaining corporate entity management systems (such as Legisway)
  • preferably experience with e-learning platforms, Sharepoint and Teams
  • Dutch-speaking and good knowledge of the English language
  • effective communication skills, both oral and written, tailored to the relevant stakeholder
  • proactive and solution-oriented attitude with a good dose of humor
  • getting energy from maintaining action lists: following up on and completing actions
  • analytical and eye for detail (meticulous and structured)
  • ability to work independently and comfortable being the linking pin between stakeholders
